 I am the controller responsible for your personal data and I am committed to protecting and respecting  your privacy. This privacy policy provides information on how I collect and process your personal data.

 My business is registered with the Information Commissioner's Office (ICO) under registration number  ZB727326. 

 The type of personal information I collect and when I collect it

 I may collect personal information about you as follows:

  • If you fill in the contact form on my website, I will collect your contact details and any other information you include in that form.
  • If you contact me by email, I may keep a record of that contact and the information you provide to me.
  • If we speak on the telephone prior to an initial appointment, I may keep a record of that contact and the information you provide to me. 
  • If you book an initial coaching session with me, I will send you an initial background form to complete and return to me prior to the session, from which I will collect your contact details and the other information you provide in the form.
  • During coaching sessions, I will take notes and collect a range of information relating to you, which you may choose to provide, as part of the coaching process. This may include special category data such as information concerning your health if you choose to provide it to me.
  • When you have completed the coaching process, I will ask you to complete a feedback form from which I will collect your contact details and any other information you provide on that form.
  • If you visit my website I will collect information about your visit, your IP address, browser type and version, device ID, traffic data, time zone setting and location data and the resources that you access on the devices you use to access the website via cookies. My website has a limited number of cookies, for more information on this please see my cookie policy below.

 How I obtain the personal information and why I have it 

 Most of the personal information I process is provided to me directly by you. However, I may also collect  information via my website – I use cookies on my website. For more information on this please see my  cookie policy below. I use this information: 

  • To respond to your initial enquiry about coaching.
  • To process and manage my relationship with you and work in partnership with you pursuant to our coaching agreement.
  • To enable me to deliver my coaching.
  • To improve my website, services and client relationships.
  • To recommend other services which may be of interest to you.
  • To manage payments, fees and charges and collect money owed to the business.
  • To notify you about changes to my terms, privacy policy or cookie policy.

 Legal basis for processing

 The law requires me to have a legal basis for collecting and using your personal data. I rely on one or  more of the following legal bases:

  • Performance of a contract with you: Where I need to perform the contract, we are about to enter into or have entered into with you.
  • Legitimate interests: I may use your personal data where it is necessary to conduct my business and pursue the business’s legitimate interests. I make sure I consider and balance any potential impact on you and your rights (both positive and negative) before I process your personal data for the business’s legitimate interests. I do not use your personal data for activities where my interests are overridden by the impact on you (unless I have your consent, or I am otherwise required or permitted by law.)
  • Legal obligation: I may use your personal data where it is necessary for compliance with a legal obligation that I am subject to. I will identify the relevant legal obligation when I rely on this legal basis.
  • Consent: I rely on consent only where I have obtained your active agreement to use your personal data for a specified purpose.

 Disclosures of your personal data 

 There are circumstances where I may wish to disclose or I am compelled to disclose your personal data  to third parties. These scenarios include disclosure to:

  • my suppliers and service providers to facilitate the provision of the services, including IT consultants, webhosting providers, consultants, for example, to protect the security or integrity of my business, including my systems and for business continuity reasons.
  • public authorities where I am required by law to do so; and
  • any other third party where you have provided your consent.

 How I store your personal information 

 I will implement technical and organisational security measures to prevent unauthorised access to your  personal data.

 However, please be aware that the transmission of information via the internet is never completely  secure. Whilst I can do my best to keep my own systems secure, I do not have full control over all  processes involved in, for example, your use of my website or sending confidential materials to me via  email, and I cannot therefore guarantee the security of your information transmitted to me on the web.

 How long will I store your personal data for?

 Data Retention:

 I keep your personal data for 7 years for the purposes of satisfying any legal, regulatory, or reporting  requirements. I will then dispose of your information by permanently deleting the computer files.

 Your data protection rights

 Under data protection law, you have rights including:

  • Your right of access – This enables you to receive a copy of the personal data I hold about you and to check that I am lawfully processing it. 
  • Your right to rectification - You have the right to ask me to rectify personal data that I hold about you. This enables you to have any incomplete or inaccurate data I hold about you corrected, though I may need to verify the accuracy of the new data you provide to me. 
  • Your right to erasure - You have the right to ask me to delete or remove personal data in certain circumstances. Please note, however, that I may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
  • Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances. In some cases, I may demonstrate that I may have a compelling legitimate ground to process your information which overrides your right to object. 

 You will not have to pay a fee to access your personal data (or to exercise any of the other rights).  However, I may charge a reasonable fee if your request is clearly unfounded, repetitive, or excessive.  Alternatively, I could refuse to comply with your request in these circumstances. 

 I will try to respond to all legitimate requests within one month. Occasionally it could take longer than a  month if your request is particularly complex or you have made a number of requests. In this case, I will  notify you and keep you updated.

 I keep my privacy policy under regular review. This version was last updated on 1st August 2024.

 It is important the personal data I hold about you is accurate and current. Please keep me informed if  your personal data changes during your relationship with me, for example a new address or email  address.
